Forms for Programmers

This page contains links to resources for ATOA Programmers. Please start by reading our Programming Guidelines to learn what we look for in a panel, and how to go about submitting a panel idea, and organizing a panel.

Next you might want to type one or two key words into our search engine. to see if any similar panels have already been done at ATOA. Just because a panel idea has been covered in the past doesn't mean your panel will be rejected. It may be time for an update on the idea, or a different set of panelists might bring new insights to the idea. However, you should at least be aware of similar panels before submitting your idea.

Check our private Programmers' Forums to see what's being discussed by the Programming Committee. You can also check the public Programmers' Blog to see if anyone else is interested in working on your idea. Next you'll want to look at the Programmer's Calendar to see what panels are being planned and what dates are still available. We try to avoid having two panels on the same topic in the same season, so if you see a similar panel is already being planned, you might want to change your topic, or submit it at a later date.

Finally you may submit your idea by printing out the PDF version of our Panel Submission Form and mailing it to our office, or you may submit online now. Submitting online is preferable because the date may be taken by the time your snail mail arrives. Also the data on your form doesn't need to be re-typed, and hence there is less chance for error. The ATOA Programming Director will then contact you, and inform you whether your panel has been accepted.

Once your panel is accepted and your date on the ATOA calendar confirmed, you will need to print out the PDF version of our Panel Release Form and have your panelists sign it. On this form each panelist gives ATOA permission to record her/his presentation and distribute it. Mail the signed form to our office.

Next you should submit images for us to use on our website and in our flyer. E-mail 3 or 4 images in JPEG or GIF format to the address we send you (it's not published here to avoid spam). If you do not have scans of your images, you can snail mail slides or work prints to our office. Do not send original art!

If you need to make changes in your panel listing, use the Edit Panel Data form. Do not try to re-submit the panel using the Panel Submission Form, because you will only get an error message stating that the date is already taken. You may make changes any time during the season of the panel. Thus you can change panelists' names if you need to, and if a panelist fails to show up, you can delete his or her name even after your panel is over. These changes will immediately be recognized by our search engine, and will immediately appear in the Programmers' Calendar and the text only version of our calendar (atoa.info). It will take longer for our webmaster to make the changes in that season's HTML code.
